1. Acceptance of Terms

By making a reservation or staying at Northern Lights Resort ("the Resort"), you agree to be bound by these Terms and Conditions. These terms apply to all guests, visitors, and users of our facilities and services.

2. Reservations and Booking

2.1 Booking Confirmation

All reservations are subject to availability and confirmation by the Resort. A valid credit card is required to guarantee your reservation. You will receive a confirmation email once your booking is confirmed.

2.2 Rates and Payment

• All rates are quoted in US Dollars and are subject to applicable taxes and resort fees
• Full payment is due upon check-in unless otherwise arranged
• We accept major credit cards, debit cards, and cash
• A security deposit may be required at check-in

2.3 Group Bookings

Group bookings (10 or more rooms) may be subject to different terms and conditions. Please contact our group sales department for specific policies.

3. Cancellation Policy

3.1 Standard Cancellations

• Cancellations made 72 hours or more before arrival: Full refund
• Cancellations made 48-72 hours before arrival: 50% charge of first night
• Cancellations made less than 48 hours before arrival: Full charge of first night
• No-shows: Full charge of entire reservation

3.2 Peak Season and Special Events

During peak season (December-March for aurora season, June-August for summer), special events, and holidays, cancellations must be made at least 14 days in advance for a full refund. Different policies may apply to package deals and promotional rates.

4. Check-In and Check-Out

• Check-in time: 4:00 PM Alaska Time
• Check-out time: 11:00 AM Alaska Time
• Early check-in and late check-out subject to availability and additional charges
• Valid government-issued photo ID and credit card required at check-in
• Minimum check-in age is 21 years old

5. Resort Policies

5.1 Occupancy

Room occupancy is limited to the number of guests specified at booking. Additional guests may result in extra charges or termination of your stay without refund.

5.2 Smoking Policy

Northern Lights Resort is a smoke-free property. Smoking is prohibited in all indoor areas, including guest rooms, restaurants, and public spaces. Designated outdoor smoking areas are available. A cleaning fee of $500 will be charged for smoking violations.

5.3 Pet Policy

We welcome well-behaved pets in designated pet-friendly accommodations. A non-refundable pet fee of $150 per stay applies. Service animals are welcome throughout the property at no additional charge.

5.4 Noise and Conduct

Guests are expected to maintain reasonable noise levels and respectful behavior. The Resort reserves the right to evict guests without refund for disruptive behavior, violation of resort policies, or illegal activities.

6. Activities and Experiences

6.1 Booking and Participation

Many resort activities require advance booking and are subject to weather conditions, particularly outdoor winter activities. Age, health, and skill requirements may apply. Participants must sign liability waivers for certain activities.

6.2 Weather-Related Cancellations

The Resort reserves the right to cancel or modify activities due to weather or safety concerns. Full refunds will be provided for Resort-cancelled activities. No refunds for guest cancellations due to weather preferences.

6.3 Northern Lights Viewing

Aurora viewing is subject to natural phenomena and weather conditions. While we offer wake-up calls and optimal viewing locations, we cannot guarantee northern lights sightings. No refunds will be provided based on aurora activity.

7. Liability and Damages

7.1 Guest Property

The Resort is not responsible for loss or damage to guest property. Safe deposit boxes are available in each room and at the front desk. We recommend securing valuables and obtaining appropriate travel insurance.

7.2 Property Damage

Guests are responsible for any damage to resort property caused by themselves or their party. Damages will be charged to the credit card on file. This includes but is not limited to room damage, lost keys, and damaged resort equipment.

7.3 Activity Risks

Participation in resort activities, including but not limited to dog sledding, snowmobiling, hiking, and hot springs use, is at your own risk. The Resort is not liable for injuries sustained during activities when proper safety guidelines are followed.

8. Force Majeure

The Resort shall not be liable for any failure to perform its obligations where such failure is due to circumstances beyond its reasonable control, including but not limited to acts of nature, extreme weather, government actions, or other force majeure events.

9. Privacy and Data Protection

Your privacy is important to us. Please refer to our Privacy Policy for information on how we collect, use, and protect your personal information.

10. Dispute Resolution

Any disputes arising from these terms shall be resolved through good faith negotiation. If resolution cannot be reached, disputes shall be subject to binding arbitration in Fairbanks, Alaska, under the rules of the American Arbitration Association.

11. Modifications

The Resort reserves the right to modify these terms at any time. Updated terms will be posted on our website and will apply to reservations made after the posting date.
